These Terms of Use (“Terms”) constitute a legally binding agreement between you (“Customer,” “you,” or “your”) and Safari Vibes Africa (“Company,” “we,” “our,” or “us”) governing your use of our website, services, and safari packages. By accessing our website or booking our services, you acknowledge that you have read, understood, and agree to be bound by these Terms.
IMPORTANT: Please read these Terms carefully before using our services. If you do not agree with any part of these Terms, you must not use our website or book our services.
1. Acceptance of Terms
By accessing our website (www.safarivibesafrica.com), making a booking inquiry, or purchasing any safari package or service from Safari Vibes Africa, you:
- Confirm that you are at least 18 years of age or have parental/guardian consent
- Agree to comply with these Terms and all applicable laws and regulations
- Accept our Privacy Policy and Cancellation & Refund Policy
- Acknowledge that these Terms may be updated periodically, and continued use of our services constitutes acceptance of any changes
2. Services Provided
Safari Vibes Africa is a licensed tour operator based in Tanzania, specializing in:
- Wildlife safaris throughout Tanzania and East Africa
- Mount Kilimanjaro climbing expeditions
- Zanzibar beach holidays and cultural tours
- Cultural experiences and community visits
- Customized travel packages and itineraries
- Transportation, accommodation, and activity arrangements
All services are subject to availability and are provided in accordance with these Terms and the specific terms outlined in your booking confirmation.
3. Booking Process
3.1 Booking Requests
When you submit a booking request through our website, email, or other communication channels, you are making an offer to purchase our services. Your booking becomes confirmed only when:
- We send you a written booking confirmation via email
- You have paid the required deposit or full payment
- All necessary documentation has been provided
3.2 Deposit and Payment
Unless otherwise specified:
- A non-refundable deposit of 30% of the total tour cost is required to confirm your booking
- Full payment must be received at least 60 days before the tour departure date
- Bookings made within 60 days of departure require full payment at the time of booking
- Payment can be made via bank transfer, credit card, or other approved payment methods
- All prices are quoted in US Dollars (USD) unless otherwise stated
3.3 Booking Confirmation
Upon receipt of your deposit and completion of the booking process, we will send you a detailed confirmation including:
- Tour itinerary and inclusions/exclusions
- Accommodation details
- Payment schedule
- Terms and conditions specific to your booking
4. Pricing and Payments
4.1 Price Accuracy
We strive to ensure that all prices displayed on our website are accurate. However, errors may occur. If we discover an error in the price of services you have booked, we will inform you as soon as possible and give you the option to:
- Proceed with the booking at the correct price
- Cancel the booking and receive a full refund of any payments made
4.2 Price Inclusions
Unless otherwise specified, our tour prices typically include:
- Accommodation as specified in the itinerary
- Meals as specified (typically full board on safari)
- Ground transportation in 4×4 safari vehicles
- Professional English-speaking guide/driver
- Park entrance fees and conservation fees
- Drinking water during game drives
- Government taxes (VAT)
4.3 Price Exclusions
Unless otherwise specified, our tour prices do NOT include:
- International and domestic flights
- Travel insurance (mandatory – see section 8)
- Visa fees
- Tips/gratuities for guides, drivers, and lodge staff
- Personal expenses (laundry, telephone, souvenirs, etc.)
- Alcoholic and soft drinks (unless specified)
- Optional activities not included in the itinerary
- Medical expenses and vaccinations
4.4 Price Changes
Prices may be subject to change due to:
- Significant currency fluctuations (more than 10%)
- Increases in government taxes or park fees
- Fuel surcharges
We reserve the right to adjust prices up to 60 days before departure. After full payment has been received, prices are guaranteed.
5. Changes and Amendments
5.1 Changes by Customer
If you need to make changes to your confirmed booking:
- Change requests must be made in writing (email acceptable)
- Changes are subject to availability and may incur additional costs
- An amendment fee of $100 USD per booking may apply
- Major changes (date, accommodation category, itinerary) may be treated as cancellations and rebookings
- Changes requested within 30 days of departure may not be possible
5.2 Changes by Safari Vibes Africa
We reserve the right to make changes to your itinerary when necessary, including:
- Substitution of accommodation of similar or higher standard
- Route changes due to road conditions, weather, or safety concerns
- Vehicle or guide changes for operational reasons
We will notify you of any significant changes as soon as possible. If the changes substantially alter the nature of your tour, you may choose to:
- Accept the modified itinerary
- Book an alternative tour of equivalent value
- Cancel and receive a full refund (if changes are made by us)
6. Cancellations
Cancellation terms and refund policies are detailed in our separate Cancellation & Refund Policy document. In summary:
- All cancellations must be made in writing
- Cancellation fees apply and increase as the departure date approaches
- The deposit is non-refundable in most circumstances
- We strongly recommend comprehensive travel insurance to protect against cancellation fees
7. Travel Documents and Requirements
7.1 Passports and Visas
It is your responsibility to ensure that you have:
- A valid passport (with at least 6 months validity from the date of entry)
- Appropriate visas for Tanzania and any other countries on your itinerary
- Any other required travel documents
We can provide guidance on visa requirements, but ultimate responsibility lies with you. We are not liable for any consequences of inadequate travel documentation.
7.2 Health Requirements
You are responsible for:
- Obtaining necessary vaccinations (Yellow Fever may be required)
- Taking appropriate malaria prophylaxis if traveling to malaria zones
- Consulting with your doctor regarding fitness for travel
- Disclosing any medical conditions that may affect your ability to participate in activities
- Carrying adequate supplies of prescription medications
8. Travel Insurance
MANDATORY REQUIREMENT: All customers must have comprehensive travel insurance that covers:
- Medical expenses and emergency evacuation
- Trip cancellation and interruption
- Personal liability
- Lost or damaged luggage
- Personal accident coverage
Proof of insurance may be required before travel. We strongly recommend policies that include coverage for adventure activities if you plan to participate in activities such as mountain climbing or water sports.
9. Health and Safety
9.1 Medical Fitness
By booking our services, you confirm that:
- You are in good health and physically capable of participating in the activities included in your itinerary
- You have disclosed any medical conditions, disabilities, or dietary requirements that may affect your travel
- You will follow all safety instructions provided by our guides and staff
9.2 Safari and Adventure Activity Risks
Important Safety Notice: Safari activities and wildlife viewing involve inherent risks. Wild animals are unpredictable, and while our guides are experienced professionals, we cannot guarantee absolute safety. By participating in our safaris, you acknowledge and accept these risks.
During your safari, you must:
- Follow all instructions from your guide at all times
- Never exit the vehicle during game drives unless instructed by your guide
- Maintain a safe distance from wildlife
- Not feed or provoke animals
- Respect lodge/camp safety rules
9.3 Kilimanjaro Climbing
Mountain climbing carries additional risks including altitude sickness, extreme weather, and physical exhaustion. Customers booking Kilimanjaro climbs must:
- Be in good physical condition
- Follow altitude acclimatization protocols
- Accept that summit success is not guaranteed
- Understand that guides have authority to turn back climbers for safety reasons
10. Customer Responsibilities
As a customer, you agree to:
- Provide accurate and complete information during the booking process
- Arrive at designated meeting points on time
- Behave respectfully toward guides, staff, other travelers, and local communities
- Follow local laws, customs, and regulations
- Respect the environment and wildlife
- Not engage in illegal activities or behavior that could endanger yourself or others
- Cover costs for any damage you cause to property or equipment
11. Liability and Disclaimer
11.1 Limitation of Liability
Safari Vibes Africa acts as an intermediary between you and third-party service providers (hotels, lodges, airlines, activity operators, etc.). While we carefully select our partners, we are not liable for:
- Acts or omissions of third-party service providers
- Injury, illness, death, or property loss caused by third parties
- Natural disasters, weather conditions, or acts of God
- Political instability, terrorism, or civil unrest
- Transportation delays or cancellations
- Loss or damage to personal belongings
- Consequences of inadequate travel documents or insurance
11.2 Maximum Liability
Our maximum liability for any claim arising from your tour is limited to the total price you paid for the tour package. We are not liable for indirect, consequential, or punitive damages.
11.3 Force Majeure
We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to:
- Natural disasters (floods, earthquakes, wildfires)
- Epidemics or pandemics
- War, terrorism, or political instability
- Government actions or restrictions
- Strikes or labor disputes
- Severe weather conditions
12. Wildlife and Photography
Wildlife sightings cannot be guaranteed. The natural behavior of wild animals is unpredictable, and sightings depend on various factors including weather, season, and animal movements. We will make every effort to maximize your wildlife viewing opportunities, but we cannot be held responsible if specific animals are not seen.
Photography is permitted for personal use. Commercial use of images may require additional permissions. Drone usage is prohibited in national parks and requires special permits in other areas.
13. Complaints and Disputes
If you have any complaints or issues during your tour:
- Inform your guide or our representative immediately so we can attempt to resolve the issue on-site
- If the issue cannot be resolved during the tour, submit a written complaint within 30 days of tour completion
- Include all relevant details, documentation, and evidence
- We will investigate and respond within 30 days
13.1 Governing Law
These Terms are governed by the laws of the United Republic of Tanzania. Any disputes arising from these Terms or your tour will be subject to the exclusive jurisdiction of the Tanzanian courts.
13.2 Dispute Resolution
We encourage resolution of disputes through good faith negotiations. If necessary, disputes may be referred to mediation before legal proceedings.
14. Intellectual Property
All content on our website, including text, images, logos, itineraries, and design elements, is protected by copyright and trademark laws. You may not:
- Copy, reproduce, or distribute our content without written permission
- Use our brand name or logos without authorization
- Modify or create derivative works from our content
- Use our content for commercial purposes
15. Privacy and Data Protection

18. Entire Agreement
These Terms, together with our Privacy Policy, Cancellation & Refund Policy, and your booking confirmation, constitute the entire agreement between you and Safari Vibes Africa regarding your tour. They supersede any prior agreements or communications.
19. Changes to Terms
We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting to our website. Material changes will be communicated via email to customers with confirmed bookings. Your continued use of our services after changes indicates acceptance of the modified Terms.
20. Special Conditions
20.1 Group Tours
For group tours, we reserve the right to:
- Cancel the tour if minimum numbers are not met (typically 4 participants)
- Combine groups for operational efficiency
- Provide full refunds if a tour is canceled due to insufficient numbers
20.2 Private Tours
Private tours are subject to different pricing and may have specific terms outlined in your booking confirmation.
20.3 Children
Children under 12 years of age must be accompanied by an adult. Some lodges and activities have age restrictions. Child pricing and policies vary and will be confirmed at the time of booking.
21. Sustainability and Responsible Tourism
We are committed to sustainable tourism practices. By booking with us, you agree to:
- Respect local cultures and traditions
- Minimize environmental impact
- Support local communities
- Follow responsible wildlife viewing guidelines
- Not purchase products made from endangered species
22. Tips and Gratuities
Tipping is customary in Tanzania but not mandatory. Suggested guidelines:
- Safari guide/driver: $15-20 USD per day per group
- Lodge staff: $5-10 USD per person per day
- Kilimanjaro crew: Guidelines provided before departure
